In the world of restaurant management, data accuracy is everything. When your sales figures or labor hours in Net-Chef don't seem to align with what you’re seeing on your front-of-house terminals, the Refresh POS Data button is your primary tool for reconciliation.
This feature allows users to manually trigger a request to pull the most up-to-date information directly from the Point of Sale (POS) system via the Connex integration.
Key Requirements for Use
Before you can use the Refresh POS functionality, two main conditions must be met:
Active Connex Integration: The location must have an active integration set up for sales and/or time clock data.
Supported POS System: Your location must be using one of the certified systems compatible with this manual refresh. (See Requirements in Refresh POS Data Quick Start Guide)
How the Refresh Process Works
When you click the button, a request is sent to Connex to retrieve data for the specific dates you've selected. Depending on your needs, you can refresh three distinct types of data:
Menu Mix: Provides check-level detail, including quantities, pricing, servers, and revenue centers.
Sales Mix: Contains high-level summary information used for daily reconciliation, such as gross/net sales, tax, and tender types.
Time Clock: Pulls labor details, including employee punch times (in/out), positions, and break indicators.
Once the request is processed, the data is uploaded into Crunchtime. Crunchtime Administrators can monitor the status of these imports through the Inbound Integrations screen within Enterprise Manager.
Why Use It?
The most common reason to use this button is to resolve data discrepancies. If a network outage delayed an automated sync, or if edits were made directly at the POS that haven't yet reflected in your reports, the refresh button ensures your Sales and Forecasting data is 100% accurate.
Note: If you encounter errors such as "Business Date Is Within A Posted Period," you may need to troubleshoot your inventory periods before the data can successfully overwrite existing records.
Here are the primary screens where you can find the refresh functionality:
1. Daily Sales Summary
If you are reconciling your end-of-day numbers, you don't need to switch to forecasting.
Path: Net-Chef>Sales Forecast or Recent Sales Transactions
Usage: From here, you can use the Refresh POS Data button to pull in the most recent Sales Mix. This is ideal if your net sales or tender totals (cash/credit) aren't matching your POS reports.
2. Labor Summary
If you are specifically looking to fix labor discrepancies (missing punches or incorrect hours), the refresh can be triggered from the Labor Summary Screen
Path: Net-Chef>Labor>Labor Summary
Usage: When reviewing employee punches, the Refresh POS Data button pulls the latest Time Clock data. This ensures that any last-minute punch edits made on the POS terminal are reflected before you post labor to payroll.
3. Inbound Integrations (Enterprise Manager)
While this isn't a "button" in the same sense, Enterprise Manager is the "command center" for these refreshes.
Path: Administration>Inbound Integration
Usage: While you typically trigger the refresh from the store level (Net-Chef), administrators can monitor the status of those requests here. If a refresh from the Forecasting screen fails, this is where you go to see the specific error message.
