What is Voice-Based Inventory?
Voice-Based Inventory is an AI powered speech-to-text feature that allows employees to quickly enter inventory counts by speaking item names and quantities directly into the Inventory mobile app.
How do you enable this feature?
The "Mobile Inventory Application > Voice Data Entry" User Group permission must be enabled for employees to see this feature.
Once this feature has been enabled, users will need to select "Assign to me" in order to see the voice inventory microphone icon, similar to how they would need to assign to storage to themselves before they can manually enter counts.

Which languages does this feature support?
Currently this feature is only available in English.
How is AI used in this feature?
Voice-Based Inventory uses speech-to-text AI technology to process and interpret natural language as you speak inventory counts. The AI converts spoken words (ex: "chicken breast, 12 pounds" or "six cases of fries") into accurate, structured data entries inside the mobile app, helping users count faster and reduce manual input errors.
Does the AI store my data?
No. The AI model used for speech-to-text processing does not store your inventory data within our system or retain recordings for operational use. Audio is processed for transcription purposes, and in some cases may be used by our external speech-to-text provider to improve and train their underlying models. Any audio that is retained for model improvement is stripped of all identifying details before it is used. It cannot be linked back to you, your organization, your locations, or any individual user.
Speech processing is handled securely for the purpose of converting your voice into text within the app. Your business data remains private and protected.
Will my voice be recorded?
Audio is temporarily processed to generate the transcription, but recordings are not stored as part of your inventory records.
How accurate is the transcription?
The AI is designed to recognize natural counting phrases and common inventory terminology. Accuracy improves when you:
- Speak clearly.
- Minimize background noise.
- Use standard item names as listed in our inventory systems.
- Wear headphones.
Users are encouraged to review and edit counts as needed before submitting.
What happens is the AI misunderstands me?
You can immediately correct any transcribed entry before finalizing your count. The feature is designed to keep you in control. The AI assists and the end user validates.
Does this replace traditional inventory data entry?
No, this is an optional feature designed to speed up the counting process. Users can still enter counts manually if preferred.
What is the cost to use this feature for existing customers?
Current customers can enjoy Voice-Based Inventory at no cost until June 30, 2026! After the free period ends, it will transition to a standard monthly, per-location subscription. If you choose not to subscribe, the feature will be turned off at that time. For more information and to lock in your monthly rate, reach out to your Customer Success Manager.
Why is there an additional fee?
Our new AI tools, like Voice-Based Inventory, are premium upgrades designed to deliver massive time savings. Since real-time audio processing requires specialized technology and dedicated computing power, we offer this as an optional add-on. This approach keeps our core platform accessible and ensures your based subscription price remains unchanged until renewal. You only pay for the AI tools if you choose to use them, and you will keep access to a robust set of our standard inventory features that are included in your monthly subscription.
What if my locations don't use the Inventory mobile app?
This feature is only available through the Inventory mobile app. Please reach out to Customer Success to learn how you can get started using the app!
