A Purchase by Invoice (PBI) is used to enter the invoice total and the category subtotals for any invoice that is received at a location but is not associated with a product order.
Common issues with Purchase by Invoice categories
Here are some frequently asked questions about Purchase by Invoice (PBI) categories.
Why is a category missing from the PBI dropdown menu?
A category is available to use on a Purchase by Invoice transaction based on the general ledger account that it is linked to. A category will only be available for use if the corresponding GL account has the PBI box checked on the General Ledger screen in Enterprise Manager.
Why is a general ledger account missing from the PBI dropdown menu?
General ledger (GL) accounts are not directly referenced from Purchase by Invoice screen and will not be visible on this page. The GL account used for a Purchase by Invoice is linked to a category, which is then selected when entering the invoice.
Why is a category prepopulated on the PBI screen?
The Purchase by Invoice screen will prepopulate with recently used categories. Once a category (subcategory/microcategory) has been used for a PBI transaction, it will be automatically available for the same location and vendor for the next 45 days, based on the delivery date of the most recent transaction.
These categories cannot be removed while creating the order. Only categories with associated values will appear on the saved order.
