How To Integrate With Fresh Concepts

This guide can be used to configure an electronic integration with Crunchtime and this vendor. This information is based on the last known setup and requirements from the vendor.

Integration Points

• Purchase Order – Standard PO
• Confirm Receipt – Standard format
• Confirm Terms - not available
• Invoice – Standard e-invoice
• Bid Sheets – Standard format

Vendor Setup - Header

• Vendor Code – Create vendor records for each distributor. The Vendor Code can be decided on by the customer; let the Vendor contact know the code to use for each distributor.
• VO Mode - FTP
• Interface - Standard
• URL - ftp.freshconcepts.info/orders

Vendor Setup – Location Details

• Account # - Fresh Concepts Restaurant Database ID for each location (not what the distributor account number is)
• Reference - not used. Repeat the Account #
• User Name/Password – Same credentials will be used by all locations

Vendor Setup – Charge and Credit Codes

This is a list of common codes found on invoices:

• FREIGHT
• TAX
• SHIPPING
• Misc 1
• Misc 2

Vendor Bids

• It is recommended to use Fresh Concepts' Product Numbers instead of the Distributor Product numbers for ease of maintenance in Vendor Bids.
• Markets must be 1:1 to each Distributor. Fresh Concepts cannot map multiple Market Names to a single distributor.

Other Considerations

• Paper invoices may not include the Fresh Concepts product numbers. Fresh Concepts can, however, provide a translation extract of their product numbers to each distributor's product numbers on request.
• Approved order guides can be maintained by the Sales Rep.
• Order Guides can be sent weekly or daily.
• When enabling the integration feed, order guides will be sent across all distributors (cannot be limited). Invoices, however, can be limited by Location.
• Invoices are sent after delivery.
• If you do not send Vendor Code mappings to Fresh Concepts, you may see files come across with the following Distributor ID codes.
