This guide can be used to reference the details Crunchtime uses within an EDI integration with vendors. EDI Integrations are a paid managed service and require the use of Crunchtime Xchange.

Integration Points
We utilize standard ANSI x12 or EDIFACT formats
- Purchase Order – 850 or ORDERS
- Confirm Receipt – 855 or ORDRSP
- Confirm Terms - 865 or DESADV
- Invoice/Credits – 810 or INVOIC (alternatively, we can map an 894 adv shipping notice as the invoice)

- Account #s mapped in the vendor location details screen
- Crunchtime Xchange connected to Enterprise Manager
- EDI file mapping between the vendor and Crunchtime
Vendor Setup – Charge and Credit Codes
EDI files use fields to determine the type of charge or credit, rather than codes. A vendor may send non-product charge and credit codes within the product records. If this is the case, then the code for the non-product item should be mapped as Charge and Credit Codes or Vendor Bids.

Other Considerations
- This managed integration service uses an external EDI translation service, which is not accessible by customers. You must enlist a Crunchtime Technical Consultant to set this up.
- All Locations assigned to the Vendor record in Crunchtime that submit an order through Net-Chef will process the order through the EDI integration. It's not possible to restrict the locations unless you use "Do Not Transmit".
- If you include messages on your orders, do not include formatting such as tabs or returns or special characters such as emojis, symbols, or non-standard English characters. Dash, commas, spaces, parentheses, slashes, and periods are allowed.
- It is recommended not to have "Create Back Order during Reconcile" enabled in User Groups. Those orders will also be transmitted to your vendor and generally will cause failures on the vendor's side.

Invoices or Confirmations may fail within the integration layer, and errors will not be visible to our customers. Errors that could cause Invoices to fail include, but are not limited to:
- Invoices/Confirmations for Orders that were submitted from Crunchtime, but then canceled or manually reconciled
- Invoices resent by the vendor after we have already received and processed them through Xchange
- Different Invoice sent for an order already reconciled
- The Invoice Total does not match the total of the detail lines and charges/credits in the file
- The Account Number in the Invoice file does not match an account set up in your database
