This guide can be used to configure an electronic integration with Crunchtime and these vendors. This information is based on the last known setup and requirements from the vendors.

- Vendor Code – recommended to match the 6-alphanumeric Sysco Distribution Center code (see list below); Sysco will map to the customer's Vendor Code if requested

Vendor Setup – Location Details
- Account # - 6-digit account number (account numbers may vary in length for Sygma)
- Reference - 3-digit OpCo code (see list below)
- User Name/Password – Same credentials can be used by all locations unless stated otherwise
Vendor Setup – Charge and Credit Codes
This is a list of common codes found on invoices:
- TAX
- 9477498 – Allowance for Drop Size
- 6592893 – Freight Charges
- 3064060 – Rebate
Vendor Bids
- Sysco will generate one order guide file per distribution center. The Market name is determined by Sysco (see list below); Sysco can also map custom Market names. Multiple Markets cannot be mapped to one account (eg. Food vs Wine).
- FreshPoint Market Names are descriptive based on the Supplier and City and typically begin with ‘FP-‘.
- Sysco and FreshPoint's Vendor Product Numbers are 7 digits in length. When obtaining a file from the sales representative for initial Vendor Bid setup, if the file is in Excel format, leading zeros may be missing. Therefore, it’s recommended to either obtain a file from Sysco in text format or validate the product number length to ensure missing leading zeros are accounted for.
- Sysco and Freshpoint use descriptive vendor units (eg. ‘12/24oz’ rather than ‘CS’). They also include the Pack Type in Invoice files. It's recommended to map the exact Pack Type that is used in the order guide file so the invoices do not fail. Sygma will send units as CS, EA, LB, BX, PL, etc.
- Sysco will flag Secondary Products if there is a split or sub available for products in their order guide files. Bid Files are usually generated every Thursday night for the effective date of Monday.
- SOTF (Supplies on the Fly) Product invoices will come through as general item numbers since the individual line items don’t exist in the Sysco Warehouse database. It's believed these are the GL Numbers from Sysco, but the exact numbers used should be confirmed if SOTF invoices will be included in the integration feed. Therefore, the product numbers used in the invoices should be mapped in either Vendor Bids or Charge and Credit Codes.
Other Considerations
- Credit invoices can be enabled and are generally available 24 hours after delivery. This is dependent on the timing of the driver who adjusts the invoice at the time of delivery and relays the information back to the distribution center.
- Special Order items (or remote stock) may not be able to be ordered from Crunchtime, but could come in on Invoices. You may need to consider setting up an alternate Vendor record (eg. Sysco - Special Order) and map it to the main Sysco Vendor record via the "Add. Vendors" tab on the main Vendor record to hide products from ordering but still receive on invoices.
- ‘Supplies On The Fly' (SOTF) Invoices come through the regular invoice feed. It’s not possible to exclude these since Sysco doesn’t have a way to track them differently.
- If you've requested order guides to be included in your feed to Crunchtime, but you are not receiving the files, it’s most likely due to an unconfigured setup in Sysco’s system that the Sales Rep needs to do. If you are updating feeds to add additional accounts, send an email to: 000-IT-B2B-OTC@corp.sysco.com and sysco@service-now.com with the Subject: B2B Incident (Sales): Customer Name – Additional Accounts to add to CrunchTime Feed by (MM/DD/YYYY)
In the body of the email, make sure to send the Location Account Number, OpCo # (you’ll find this in the reference field on the Vendor record > Location details), Vendor Code, and Market name to map.
