How To Integrate With Produce Alliance

This guide can be used to configure an electronic integration with Crunchtime and this vendor. This information is based on the last known setup and requirements from the vendor.

NOTE: Produce Alliance will be merging into Fresh Concepts in 2026. You may be contacted to change your Vendor Product Numbers and FTP connection. 

Integration Points

  • Purchase Order - Standard PO
  • Confirm Receipt – Standard format
  • Confirm Terms - not available
  • Invoice – Standard e-invoice
  • Bid Sheets – Standard format

Vendor Setup - Header

  • Vendor Code – Set up each distributor separately. Produce Alliance has internal distributor IDs that they assign at first as the Vendor Code in files (see list below). Vendor Codes can be decided on by the customer; let the Vendor contact know the code to use. 
  • VO Mode - FTP
  • Interface - Standard
  • URL - http://ftp.freshconcepts.info/in

Vendor Setup – Location Details

  • Account # - customer account number
  • Reference - not used. Repeat the Account #
  • User Name/Password – Same credentials will be used by all locations

Vendor Setup – Charge and Credit Codes

This is a list of common codes found on invoices:

  • FREIGHT
  • TAX
  • SHIPPING
  • Misc 1
  • Misc 2

Vendor Bids

  • Vendor Product Numbers are 5 digits
  • Product numbers are Produce Alliance numbers, not the supplier product numbers that the client would see on the paper invoices
  • You may see charge and credit codes in the order guide files produced by Produce Alliance, but you can notify Produce Alliance to exclude them from future files

Other Considerations

  • Order Guides will be available on the FTP server on Friday afternoons, with an effective date for the following week
  • Produce Alliance can send electronic (011) Confirm Receipt files or emails directly to the restaurants to confirm orders
  • Invoices are typically delayed until the next morning after delivery
  • Paper invoices provided at the time of delivery will note differences between what was ordered and what was delivered. The delivery drivers will note delivery adjustments on their handhelds; however, the changes don’t get approved until typically the next day, after the e-invoice has been sent to the FTP. Produce Alliance would then send an additional invoice for the difference, often noting the same VO number. Consider enabling the Pricing Rules setting on the Vendor record to Allow Duplicate Purchase Order Numbers.
