Whether it's a simple request, a photo submission, or a form, tasks streamline communications between employees. This comprehensive guide covers everything you need to know about creating, managing, editing, pausing, and removing tasks in Zenput. You'll learn how to create one-time tasks, add them to projects, edit them individually or in bulk, and understand the important differences between archiving and deleting tasks. |

Creating Tasks
You can create one-time tasks or add tasks to an existing active project for reporting purposes. Tasks can be created from both the web app and mobile device.

Tip: If you would like to create multiple one-time tasks at once, see: How to: Import tasks in bulk (Admin)
Triggered (Follow-up) Tasks
Tasks can also be automatically created and assigned based on preset conditions or exceptions. To learn how to create follow-up tasks, click here.

Pausing Tasks
If you would like to pause tasks either because of holidays or due to a temporary closing at your locations, use one of the following methods depending on your needs.
Temporarily Closing Locations for More Than One or Two Days
When pausing tasks for extended periods, you'll move the location outside the hierarchy to stop receiving tasks. The best approach is to remove the 'Owner/User' from the location, then remove the User and Location from the hierarchy team.
|
Important: To start tasks back up, reverse these steps - reassign the owner and put them back in the right area. It takes 48 hours for the tasks to start running again (if you make changes on Monday, tasks will resume on Wednesday).
Temporarily Closing Locations for Holiday/Inclement Weather
If a store is temporarily closed for a short period, you can allow the tasks to run, then delete them afterward so they don't count against task completion metrics. This makes sense for closures of only a few days, since it takes 48 hours to turn tasks off/on.
|
Please make sure you are ONLY deleting the tasks you mean to delete because once they have been deleted, the action cannot be undone - they are gone forever.
Archiving vs. Deleting Tasks
When going to remove or adjust tasks, you will notice that there are two options available: Archive and Delete. Understanding the difference is crucial for accurate reporting.
Archiving a Task
Archiving a task removes the task from the assignee's available tasks. Archived tasks are still counted toward overall task completion percentages for the user as well as project and report task completion percentages.
Deleting a Task
Deleting a task removes the task from the assignee's available tasks, but removes the task completely from all task completion reporting - similar to if the task never existed in the first place.
Example Comparison
Scenario: You have a project with 100 tasks of which 70 have been completed, and you want to remove the remaining 30 tasks from the project.
Archive Option
After archiving the remaining 30 tasks:
- The project will be completed
- Project completion percentage: 70%
- Overall task completion count: 70/100
Delete Option
After deleting the remaining 30 tasks:
- The project will be completed
- Project completion percentage: 100%
- Overall task completion count: 70/70

Warning: Deleted and archived tasks cannot be restored.
Viewing Previously Deleted Tasks
You can view previously deleted tasks by using the Status dropdown on the tasks page.
| Use the dropdown and select "Deleted". You will then be shown a list of previously deleted tasks. You can also search for specific tasks. |
